If you decide to change or restructure a loyalty program, you will need to ensure the following steps are taken to properly create and import your existing customers into the new program.

Step 1.

Go to Reports and select the Kiosk Check Ins Reports.

Step 2.

Put in the following parameters to get a record of every customer that has used the kiosk in this account.

  • Kiosk Name
  • Clear Out Count Filter
  • Clear Out Date Filter

Step 3.

Click the magnifying glass and once you have received all the information you can now export this data.

Note: Because importing a new list of Total Opt-ins (total of all Checkins)  and Opt-ins (currently loyalty progress) does not overwrite previous history, there are additional steps that must be taken to modify the account and file before your account will be ready with a new loyalty program.

Step 4.

Make a copy of your file that you just exported from the account. This is important if you need to revert to an older file later.

Step 5.

Remove all columns from the copied file except for Mobile and Loyalty Cycle

Step 6.

Custom sort the list by Loyalty Cycle from largest to smallest.

Step 7.

Add a 3rd column to your excel file for your adjusted Loyalty Cycle and fill it in accordingly. This will be determined by the new loyalty program that will be used in the account.

Note: At this point it is recommended that you save the file and make a copy of it so that if the account wants a record of who was adjusted and what they were adjusted to, this info would be in a file readily available.

Step 8.

Remove the original Loyalty Cycle column from the copied file. Then, duplicate the remaining adjusted Loyal Cycle column and rename them both. One needs to be named Total Opt-ins and the other needs to be named Opt-ins to be imported correctly.

Step 9.

Now that your file is ready to be imported, you must now switch your attention to the account and take several steps to prepare the account for a new loyalty program. The first step is to DELETE the existing campaign.

Note: Since you can’t overwrite loyalty progress with uploads. This is the only way to give your program the clean slate needed to import adjusted loyalty progress. Don’t worry, this does not delete the contacts nor does it opt them out of receiving messages. Existing contacts that were opted-in will remain opted-in and those that opted-out will remain opted-out.

Step 10.

Now you may recreate the same keyword, HOWEVER this time you will create the New loyalty program that the account wants.

Note: You will also need to create additional coupons for the new loyalty tiers or program.

Step 11.

Now that your campaign and coupons are set. You can now import your file of your contacts into the recreated keyword.

Step 12.

Give the system about 10 minutes to update the information and then your account should be all set with the new loyalty program!
